Lesson 2. Anrufen und schreiben: phone calls, letters, rescheduling a meeting
I can call a company and ask for the person I need, say I'll call back, begin and end a letter to someone I know and to someone I don't, and politely cancel or reschedule a meeting.
Anrufen und schreiben
Phone calls, letters, and rescheduling a meeting
On the phone nobody sees you, so a call runs on set phrases. A letter's first and last lines show whether you write with du or Sie.
The phone. The table covers almost any call to a company. On the phone, goodbye is not Auf Wiedersehen! but Auf Wiederhören! — “till we hear again”, from hören.
anrufen takes the accusative. As in English, you call someone: Ich rufe dich an. You already know the accusative forms.
Prefixes. anrufen, zurückrufen, and absagen are separable (the prefix goes to the end): Ich rufe meine Kollegin an. verschieben is inseparable (the prefix stays): Emma verschiebt ihren Urlaub.
Letters. To a stranger or a company: Sehr geehrte Frau … or Sehr geehrter Herr …, ending with Mit freundlichen Grüßen. To friends: Liebe … for a woman, Lieber … for a man, ending with Viele Grüße. English “Dear” opens any letter, but Liebe and Lieber are only for people you call du. Learn them as set phrases.
Canceling or rescheduling. absagen — the meeting won't happen at all; verschieben — it will, but on another day. Es tut mir leid softens both.
Common mistakes:
• NOT “Ich rufe Ihnen an” — correct: Ich rufe Sie an.
• NOT “Ich sage ab den Termin” — correct: Ich sage den Termin ab.
• NOT “Sehr geehrte Herr Becker” — correct: Sehr geehrter Herr Becker.
• NOT “Mit freundliche Grüßen” — correct: Mit freundlichen Grüßen.
A phone call, line by line
These lines cover almost any call to a company.
| What you need | What you say |
|---|---|
| say who you are | Hier spricht Emma Müller. |
| ask for the person you need | Kann ich bitte Frau Hoffmann sprechen? |
| ask someone to wait | Einen Moment, bitte. |
| the person isn't there | Frau Hoffmann ist gerade nicht da. |
| say you'll call back | Ich rufe Sie am Donnerstag zurück. |
| cancel or reschedule | Ich muss die Besprechung absagen. · Emma verschiebt ihren Urlaub. |
Openings and closings in pairs
A letter's opening and closing are always in the same register.
| Who you're writing to | First line | Last line |
|---|---|---|
| to a woman you don't know, to a company | Sehr geehrte Frau Hoffmann | Mit freundlichen Grüßen |
| to a man you don't know, to a company | Sehr geehrter Herr Becker | Mit freundlichen Grüßen |
| to a female friend | Liebe Lisa | Viele Grüße |
| to a male friend | Lieber Paul | Viele Grüße |
